Lecture Hall 2/3 AV System Guide

If you are unfamiliar with the systems in the Lecture Halls and you are teaching a class or running an event in this space, please try to arrange a training with IT in advance.

Computer Username: Lec2 or Lec3
Password: Neco424!

WiFi for Guest Presenters:
Network: NECOGuest
Password: Perfect-Vision-1894

Turning on the system:

  • Tap the QSC touch panel to wake it up, then again when you see the NECO logo screen.
  • Choosing a source from the list on the left will automatically deploy the screens and turn on the projectors.
  • The small secondary monitor will always show what’s being sent to the projectors

  • Dell CPU located half way down the left-side rack below the keyboard
  • If computer doesn’t wake when you use mouse/keyboard, press power button on front of CPU
  • If no image appears, check the SMART Podium monitor power button, rear upper left edge. When on, the LED is blue. When on standby, LED is orange.
  • NOTE: the small secondary monitor will not display when the AV system is off.
  • Connect USB devices to the connected USB hub, left of the monitor.
  • DVD drive and extra USB ports are on the front of the computer.

Source: Laptops

  • Attach the HDMI and USB cables, through the supplied USB-C adapter if necessary
    • HDMI is required for sending your content to the projectors and speakers
    • USB is required to provide the laptop with the room’s microphones and cameras
  • Confirm your laptop volume is not muted, and that your computer’s audio output is set to the AV system (Q-SYS NV-21-H)

Presentation Remote:

  • Make sure the slider on the side is in the ON position and test the laser pointer.
  • NOTE: the remote will try to control the last app you interacted with, so make sure that’s your presentation, not Panopto, Zoom, etc.
  • If you need to use it with your laptop, move the USB receiver from the USB hub to your laptop. Please replace it when you’re done!

Cameras

  • On the control panel, tap the “Cameras” button
  • Switch between Presenter camera and Audience camera.
  • Live preview image is available on the control panel, along with Pan/Tilt/Zoom controls
  • Both the LH PC and any connected laptop can receive this camera feed simultaneously

Microphones: (podium, wireless 1 and 2, overheads)

  • To control microphones, touch the “Mic Settings” button on the touch panel (upper right)
  • Unmute (Red = muted) the desired channel and control their individual volume levels.
  • Lavalier and hand-held mics are in charging holsters on the right side of the lectern.
    • To turn them on and off, flip the switch.
    • You can only use ONE mic per channel – two Lavs, two handhelds, or one of each may be used simultaneously
    • Clip on microphone a few inches below the neck.
  • Podium mic is sensitive and can pick up at half an arm’s length if levels are set correctly.
  • Ceiling mics: MUTE them for better presenter clarity in recordings and Zoom meetings. During class discussions, UNmute them so participants can be heard. They have status lights (Green=on, Red=off)
  • Use the hand-held wireless mic (on the channel not being used by the lavalier) for better audience question audio clarity than the overhead mics

Using PointSolutions

(see PointSolutions Setup Guide for details)

  • If you are using PointSolutions, make sure ALL software is closed, then
    • Open PointSolutions and sign in
    • Open PowerPoint from within PointSolutions, or by launching the PowerPoint directly
    • Once PowerPoint is running, launch Panopto Recorder if using

Panopto/Zoom:

  • BEFORE using Panopto or Zoom, configure your displays to accommodate your presentation format (if using presenter view, use Win-P shortcut and choose “extended” display mode)
  • If you will be using Duplicate display mode, make sure your PowerPoint Slideshow is NOT set to use Presenter View

Using Panopto (must be installed in advance on laptops)

  • Once the application is open, sign in using Canvas
  • Browser now looks like a Google sign-in page. After sign-in, you will return to the Panopto app.
  • Click “Create new Recording” and choose the correct destination folder from the drop-down
  • Configure sources using the pull-down menus and checkboxes:
    • Primary Sources:
      • Video can be either “Q-SYS NV-32-H” to record the room camera, or “none”
      • Audio MUST be “Echo Cancelling Speakerphone”
      • Quality should be standard
    • Secondary Sources:
      • If displays are in Duplicate mode, Capture Main Screen and PowerPoint should both be checked
      • If displays are in Extended mode, Capture Secondary Screen and PowerPoint should both be checked
  • Click the record button and wait to ensure the timer starts before starting your presentation.
  • When finished, click “Stop” and then “Upload”
  • Sign out of Panopto if using the Lecture Hall PC

Using Zoom (to connect to overflow or allow remote connection)

  • Launch your meeting from a link or from within Zoom.
  • If prompted, sign in using Google (click the “G” icon button instead of entering credentials)
  • Start your screen share. If in Extended display mode, be sure to share the monitor that will show your slides, not the SMART monitor.
  • If your content has videos with sound, you need to enable sharing computer audio. This can be done when starting the screenshare, or from the “more” menu during a share in progress
  • Camera should be “Q-SYS NV-32-H”, microphone should be “Echo-Cancelling Speakerphone”
  • It’s recommended that you perform the “test my speaker and microphone” within Zoom
  • Remember: unlike Panopto, if you don’t UNPAUSE a Zoom recording, it will not be recoverable
